Exhibition Guidelines

1. Goals

HKBU Library collaborates on and independently curates a wide range of exhibitions to contribute to diverse and transdisciplinary learning experiences. Exhibitions at HKBU Library showcase the scholarly and creative contributions of the HKBU community and external partners. They also promote the Library's services and collections, emphasising their alignment with, and integration into, the University’s research, learning, and teaching activities, in addition to showcasing unique materials. These exhibitions contribute to whole person education, best student experience, and create a culturally enriching and intellectually stimulating environment for Library visitors.

2. Exhibition Venue and Duration

The main exhibition space is located next to the Main Entrance on Level 3 of the Au Shue Hung Memorial Library)

  • Dimensions: Approximately 700 sq. ft.
  • Features: Equipped with a 110” TV wall, a top-tier audio system, and a wire hanging system, this area is suitable for large-scale installations, mixed-media displays, and interactive exhibitions.

All exhibitions are temporary, with a typical duration of 2 months. 

3. Exhibition Application

The Library collaborates to create exhibitions, independently curates exhibitions, and hosts exhibitions created by external contributors. We welcome a range of exhibition proposals from both internal and external parties. Proposals are reviewed and exhibitions selected by Library’s Exhibition Team. The selection is guided by the criteria below. This inclusive approach ensures a wide variety of perspectives and topics are represented, while at the same time maintaining relevance to the HKBU community.

3.1 Submission of Proposal

To propose an exhibition or to collaborate with the Library on an exhibition, applicants need to complete the Library's exhibition proposal form. Your request will be quickly acknowledged, and decisions are generally provided within a month.

3.2 Proposal Timeline

The exhibition schedule is often planned up to six months ahead of time, and proposals should be submitted well in advance. Please submit the proposal no less than three months prior to the anticipated opening date of the exhibition.

4. Exhibition Contents

The selection of exhibitions is guided by the following criteria to ensure relevance, a high standard, and broad appeal:

  • Alignment with the strategic priorities of the University and the Library
  • Relevance to the University’s research areas and curriculum
  • Emphasis on transdisciplinary topics
  • Overall quality of the proposed artwork (including digital), artefacts, etc.
  • Broad appeal to the University community
  • Introduction of new and impactful themes
  • Opportunity to showcase complementary Library collections
  • Practical consideration such as ease of installation, associated costs, resource availability, and scheduling constraints

5. Resources offered by the Library

The Library is committed to supporting exhibitors by offering various resources, as needed and appropriate. These include curation, graphic design, leaflet production, and logistical support.

Collaborators may be asked to sign an agreement outlining the responsibilities of the parties involved.

6. Funding

The Library has a limited budget to support exhibition costs such as reproduction, installation, and supplies. Funding support from collaborators is welcomed.

7. Security

While the Library strives to provide a safe environment for exhibitions, it does not offer special security measures for exhibition areas. The Library’s standard practice is that it does not provide insurance for materials in transit or on display and assumes no responsibility for loss, theft, or damage to exhibited materials.

8. Visitor Access

Exhibitions are accessible to all eligible Library users. Depending on the theme, nature of the exhibits, and resource availability, some exhibitions may be open to the public on select dates through a special arrangement. In such cases, visitors are requested to register online in advance. Group visits are also welcome. Library regulations governing user behaviour apply to all visitors.
